How to write a furniture project brief for manufacturing in Mexico

For a U.S. company developing a hotel, restaurant, residence or workplace in Mexico, the furniture brief has two jobs. It must communicate design intent, and it must make the local project conditions visible to the manufacturing team. A polished rendering cannot answer questions about access, repeat quantities, finish approval, installation responsibility or the date a decision must be made.

A clear brief gives procurement teams comparable proposals. It also gives architects and designers a controlled place to identify performance requirements, approved references and open questions. The goal is not to remove every question before engaging a manufacturer. The goal is to make the first questions specific enough to protect design, budget and schedule.

This guide is a planning framework, not a substitute for construction documents, engineering, code review, legal advice or the final agreement with a supplier.

What a manufacturer should learn from the brief

After reviewing the package, a manufacturer should understand:

  1. which spaces and furniture families are in scope;
  2. the quantities and repeated room or unit types;
  3. the required dimensions, performance and appearance;
  4. the samples or prototypes needed before production;
  5. the decision, production, delivery and installation milestones.

When an answer is not available, label it “to be confirmed.” Name the decision owner and due date. A visible open item can be scheduled; an implied assumption often becomes a change later.

1. Establish the project context and decision chain

Start with a one-page summary that includes:

  • project name, city and state in Mexico;
  • property type and operating model;
  • current phase: concept, design development, construction documents, construction or replacement;
  • target opening, turnover or installation date;
  • U.S. and Mexico contacts, with one authorized commercial contact;
  • architect, interior designer, purchasing agent, operator, general contractor and installer, as applicable;
  • working languages, units and required document formats;
  • site security, work-hour, storage and access restrictions.

State which party will consolidate design comments. Separate, conflicting feedback from ownership, operations and design creates unnecessary revisions. A single approval log is more useful than a long email chain.

2. Build a furniture schedule by space and family

Use one identifier for every furniture family across drawings, room data sheets, finish schedules, sample labels and purchase documents.

Create a different ID when dimensions, hardware, construction or finish change, even if two pieces appear similar. Note owner-furnished items and components purchased by others.

3. Send dimensions that can be checked

Each item should show overall dimensions and the dimensions that affect use or coordination: clearances, seat or work heights, top thickness, overhangs, supports, door and drawer swings, cable paths, and interfaces with walls, floors or equipment. State whether drawings use millimeters or inches and which unit governs.

Do not use a photograph as the only dimensional reference. It cannot reliably communicate scale, joinery, internal construction or load conditions. When a full drawing is not ready, provide a dimensioned sketch and list the decisions the manufacturer may propose.

Before production release, coordinate furniture dimensions with verified field conditions. Built-ins and large freestanding pieces must also fit through loading areas, doors, corridors and elevators.

4. Specify performance before naming a material

A phrase such as “natural wood” does not tell a manufacturer how the furniture must perform. Describe the conditions first:

  • interior, covered exterior or direct weather exposure;
  • occupancy and cleaning frequency;
  • expected contact with water, heat, food or cleaning agents;
  • loads, stability and mobility requirements;
  • target appearance and acceptable natural variation;
  • maintainability and field-repair priorities;
  • project-specific documentation or regulatory requirements.

Then evaluate solid wood, veneer, plywood, MDF, metal, stone, upholstery or mixed construction. AWI 300 notes that intended use, cost, hardness and relative stability are among the considerations in selecting lumber and wood-based panels. Material names alone do not define performance.

If certified forest content is a project requirement, state the desired claim and submittal documents. FSC chain-of-custody certification is the system used to identify and track certified forest-based material through production and distribution. Do not request a logo or sustainability statement without defining the certificate and purchasing documentation required to support it.

5. Define finish intent and acceptable variation

“Natural,” “matte” and “walnut color” can produce very different samples. The brief should identify:

  • species or substrate, if selected;
  • target color and gloss level;
  • open- or closed-pore appearance;
  • texture, edge profile and grain direction;
  • acceptable contrast between adjacent parts and repeated pieces;
  • exposed, semi-exposed and concealed surfaces;
  • expected treatment of backs, undersides, edges and interiors.

Use a physical control sample for final approval when appearance matters. Record its item ID, substrate, finish system, version and approval date. Natural wood varies; if the design requires very tight uniformity, discuss that expectation before pricing because material selection and yield may change.

6. Identify hardware, upholstery and long-lead components

For slides, hinges, connectors, lighting, power modules, levelers, textiles, foam, stone and metal finishes, list the manufacturer, model, finish, performance and purchasing responsibility. Attach current data sheets.

If a component will be supplied by the owner or a U.S. purchasing agent, provide its delivery date to the factory and an alternate plan. A late fabric, power module or stone slab can hold dimensions, testing or assembly even when wood production is ready.

If covered composite wood products or finished goods will be sold, supplied or imported into the United States, the responsible party should review the applicability of EPA TSCA Title VI. The rule covers hardwood plywood, MDF and particleboard, as well as certain finished goods containing them. A project installed and retained in Mexico may have a different compliance path; identify destination and transaction flow instead of assuming that every U.S. requirement applies.

7. Match samples and prototypes to project risk

Not every item needs a full prototype. Every project needs a defined approval strategy.

Separate aesthetic approval from dimensional and functional approval. A signed finish sample is not automatically approval of a chair’s comfort, a table’s stability or a drawer’s load capacity.

8. Turn “quality” into an inspection plan

“Commercial quality” or “high quality” cannot be inspected without criteria. Identify what will be checked:

  • critical dimensions and agreed tolerances;
  • stability and the operation of doors, drawers and hardware;
  • match to the approved control finish;
  • grain selection or sequence where it is part of the design;
  • exposed edges, corners and surfaces;
  • item, room or area labeling;
  • packaging and protection of hardware and loose parts;
  • sample size for inspection and the process for nonconforming items.

AWI standards provide recognized frameworks for materials, fabrication and installation of architectural woodwork. If a project adopts a standard, cite the edition, product scope and quality level. A broad note that says “meet AWI” does not define which requirements apply.

9. Schedule decisions, not only the final delivery

A useful schedule contains decision gates:

  1. issue the RFQ package;
  2. answer technical questions;
  3. receive the proposal and stated assumptions;
  4. develop shop drawings;
  5. review samples and prototype, if required;
  6. release items for production;
  7. complete production and inspections;
  8. approve packing and shipment;
  9. receive and install at the Mexico project site;
  10. close punch-list items.

10. Describe delivery and installation in Mexico

Provide the final address, receiving contact, access route, loading conditions, elevator sizes, work hours, permits and storage availability. State whether the requested price includes freight, unloading, room distribution, assembly, anchoring, installation, packaging removal or post-installation protection.

ANSI/AWI 0620 distinguishes finish-carpentry installation from several adjacent responsibilities, including certain electrical work, corrections to existing conditions and supports not identified in the contract documents. Even when that standard is not adopted, its scope discipline is useful: every interface needs a named owner.

Define who will inspect at the factory, at delivery and after installation. Use item IDs and room locations on the receiving record. Photograph and date freight damage, shortages or discrepancies before items are moved.

RFQ package checklist

Before requesting a quote, verify that the package contains:

  • project summary and contact/approval directory;
  • furniture schedule with item IDs and quantities;
  • available plans, elevations, details or dimensioned sketches;
  • clearly labeled inspiration images that are not presented as construction drawings;
  • material, finish, hardware and upholstery requirements;
  • sample, prototype and inspection plan;
  • project address, access, freight and installation scope;
  • decision milestones and required date;
  • a place for the manufacturer to state inclusions, exclusions, alternates and assumptions.

A careful manufacturer will still ask questions. That is a positive sign when the questions identify risk early and lead to a clearer proposal.

Frequently asked questions

Do we need construction documents before requesting a budget?

Not always. An early budget can use approximate dimensions, quantities, finish level and visual references, provided every preliminary item is labeled. Production should not be released with unresolved dimensions or critical performance decisions.

Should the RFQ request unit pricing or a package price?

Request item-level pricing and a package total when comparison matters. Separate prototypes, freight, installation, taxes and special components. This makes later scope changes easier to evaluate.

Who should approve samples?

Name an authorized person or committee. Every approval should identify the item, version, date and approval scope—finish, material, dimension or full prototype.

How should U.S. and Mexico teams handle units and language?

State the governing unit system and provide bilingual terminology only where it reduces ambiguity. Avoid independently edited English and Spanish drawings. Keep one controlled version and one consolidated comment log.

What is the fairest way to compare proposals?

Normalize scope before comparing price: materials, construction, finish, samples, packaging, freight, installation, warranties, exclusions and schedule. A lower number may simply contain fewer responsibilities.
